👋 Onboarding

Everything you need to know about what happens after you sign up.
1. Welcome email

Within a few minutes of signing up, we’ll automatically send an email to the address you used during the sign up process. This will include details like:

  • how to securely get us your login details
  • how to contact our support team for website edits
  • how to login to your ticket dashboard
1b. White-label onboarding

Our team will work directly with you and your team to get your white-label account fully set up.

That includes:

  • White-label inbox set up (with your logo in all email signatures)
  • White-label reports (with your logo included)
  • Full access to white-label support inbox backend dashboard (provides access to all client tickets)
  • Full access to Partner Hub (resources to help you resell white-label care plans at scale)
  • Direct access to our Partner Success Team (to answer any questions or challenges around our white-label program)

Reading this welcome email and following all the instructions provided leads directly to a smooth and effective onboarding experience!

2. Full backup

Within a few hours of signing up, our team will do a full backup of your core files and database.

We do this before performing any updates or website edits. Just in case anything goes wrong, it’s important that we have full access to a complete backup of the website.

3. Onboarding officially begins

Our team will be automatically notified that you’ve signed up and which care plan you’ve signed up for.

Our client success and engineering teams will automatically queue your website up for onboarding.

  • Our 200-item onboarding checklist is usually completed within 24-48 hours.
  • Plugin updates may not be completed during onboarding since we perform safe updates 1x per week.
  • Speed optimization can take up to 1-2 weeks to see optimal effects because the manual work to improve website performance is time-intensive!

More about our 200-item onboarding checklist

Our 200-item checklist is designed to give us as much information about your site as possible. Equipping us with the knowledge we need to holistically maintain, support, and optimize your site!

Some of the points of our checklist include:

  • Checking your plugins and theme(s).
  • Running multiple security scans.
  • Performance scans using 3 different tools - this will include a security review for common weaknesses.
4. Start sending in website edits

After our team has completed its initial backups successfully (see step 2 above)we can start making changes to your website!

As is detailed in your welcome email (see step 1 above), there are multiple ways to submit website edit requests:

  1. Email our support team directly
  2. Login to your ticket dashboard and to submit a new ticket
5. 24/7 uptime monitoring

We’ll connect your website to our uptime monitoring system. This pings your website every 60 seconds to make sure it’s up and running.

If it’s not for any reason, our 24/7 team will be notified automatically and will be working to address any issues under our control ASAP.

6. Safe updates

We’ll perform safe updates of all your plugins, themes, and core files.

If your website has advanced or complex plugins related to eCommerce, multi-language, membership, etc, we may do further testing before making those updates to make sure they’re done successfully.

7. Premium plugins installed

During your onboarding window, you’ll start to see premium plugins like WP Smush ProWP Rocket and iThemes Security Pro installed on your website.

That means we’re on our way to making your website faster and more secure!

8. Mobile optimization

We’ll put your website through the Google Mobile Checker to make sure it passes the test.

If not, we’ll put the work in to make sure every page on your website passes the mobile testing across all mobile and tablet devices.

 9. Speed optimization

Our team will be working hard, especially over the first 1-2 weeks of your care plan, to improve the loading time for your website! This includes:

  • manual optimization to ensure a strong website foundation
  • premium caching and image compression plugins installed and activated
  • a focus on decreasing loading time and improving grades in online test as much as possible given your current infrastructure
  • advice on potential upgrades we can’t make without your permissions, like upgrading your host, implementing a CDN, etc.
10. Your first report

You’ll receive your first website report the first Monday after you sign up. You’ll have full transparency into updates, uptime, backups, traffic, performance, and our 24/7 WordPress security service.

If you sign up on a Friday, Saturday, or Sunday, your website might not be ready for its first report on Monday. If that’s the case, you’ll receive your first report the following Monday.

11. Ongoing work

Month after month, our team will be available for all the WordPress help you need.

We’ll take care of updates, any website edits you request, ongoing speed and security optimization, backups, uptime monitoring, and anything else you need 24/7.

Sit back and relax. From here on out, we’ve got your back!

12. Continuing to level up

There are a few things you can do after onboarding is complete to get even more out of working with WP Buffs.

Right after you sign up to work with WP Buffs, you'll automatically receive a welcome email that asks you to send us your login credentials (WordPress dashboard and hosting).

In that email, we give you access to a tool we use that allows you to hide your login credentials behind a self-destructing link that only our team can see.

You can check out this tool at quickforget.com

Just check out with multiple subscriptions during check out.

Our website management subscriptions each cover one single site, domain, subdomain or WordPress installation.

  • amazon.com and smile.amazon..com count as 2 separate sites and would require 2 separate subscriptions.
  • amazon.com, amazonkindle.com and amazonalexa.com count as 3 separate sites and would require 3 separate subscriptions.

No problem! We can manage multiple websites for you directly or multiple client sites under our white-label program.

Just update the number of subscriptions in your cart during checkout to get started with website management for multiple websites.

You are more than welcome to choose different plans for each website depending on the needs of each individual site.

  • We offer 24/7 support. Because WP Buffs was built around a 100% remote work environment, we have staff working from here in the US and across the globe.
  • We give our customers free access to premium plugins. Every website on our Protect Plan or Perform Plan care plans gets access to iThemes Security ProWP Smush Pro and WP Rocket. This is pretty terrific value considering the overall prices of our care plans.
  • When you work with WP Buffs, a significant part of your payment goes towards helping us donate time to causes we all care about. For example, a significant part of our revenue goes towards the 100% free development time and care plan we donate to herresiliencycenter.org. HER Resiliency Center is a non-profit organization that helps vulnerable young women ages 18 to 25 with the support, skills, and resources they need to make positive decisions and thrive. Through mentoring, workshops, and the support of dedicated and highly trained staff, HER gives young women a path to independence and a different life.
  • Our online reviews, testimonials and customer stories are phenomenal. We let our customers speak for themselves.
  • We have a white-label partnership program. WP Buffs partners with design agencies, marketing firms and freelancers by offering a simple and effective white-label solution. If you have clients or customers who need ongoing website edits, performance enhancements, additional security or any kind of regular maintenance, we’ll step in as your background technical partner.
No.

Currently we do not offer non-profit pricing.

However, we do offer discounts for working under a yearly plan. You get a significant rate reduction over the year and pay for ~10 months of website management up-front.

Signing up for a yearly website management subscription might be a good idea if your fiscal year is coming to a close. If you've still got money in your budget you need to spend, invest some of it in website management for the next 12 months!

We measure results based on the success of our customers and white-label partners. We have a whole team devoted to customer success and helping you get started is a huge part of that.

If you're getting started with care plans for your own website(s), we'll send you a series of introductory emails. They detail how to effectively ask for edits, the best screen capture tools, our progress with things like plugin updates and speed optimization and other ways to get the most value out of your plan.

And if you're a new white-label partner, we'll give you all the instructions and resources to set up your white-label email address & reports, get full access to our Partner Hub and strategies to scale selling our care plans.

🛠️ 24/7 Unlimited Website Edits

After our team has successfully completed the onboarding process for your website (24 - 48 hours), we can start making changes to your website!

As is detailed in your onboarding welcome email, there are multiple ways to submit website edit requests:

  1. Email our support team directly (you can find our support team's email address in the welcome email)
  2. Login to your ticket dashboard and submit a new ticket

Unlimited edits do include edits to content on any page, changing banners, headers or footers, changing plugin settings, CSS adjustments, blog content or context edits, adding a new landing page via a page builder (not from a mockup/PSD), formatting landing pages, changing images or text, adding coupon codes or updating shopping carts. Unlimited truly does mean unlimited too!

Unlimited edits do not include custom development (PHP, plugins, themes, etc), updating custom code, graphic design, PSD to WordPress, creation of content or building out a new website or subdomain.

Example: adding a blog post

Included: You want us to upload blog content that you created with attached images that have been sent and format for WordPress with instructions.

Not included: You want us to create a blog post, find images and upload to WordPress with no instruction for formatting.

Example: WooCommerce edits

Included: You want us to add a new product to your WooCommerce store (for which you've provided all needed content).

Not included: You want us to create a custom checkout process for your WooCommerce store.

Example: adding a new plugin

Included: You want us to install and set up a plugin to use it's built-in functionality.

Not included: You want us to create new functionality that doesn't exist in a plugin (this would require custom development which is available at an hourly development rate).

Example: editing website copy

Included: You want us to take the text that you emailed to us and use it to replace the current content on your About page.

Not included: You want us to write content for or design your About page.

Example: troubleshooting issues

Included: You want us to troubleshoot plugin and theme conflicts after updates, activating new plugins or website edits.

Not included: You want us to make hosting adjustments that are the responsibility of your hosting provider or plugin customizations that are the responsibility of the plugin developer.

We'd be happy to help you with custom development as well. That kind of project is fully covered by our hourly work.

Example: on-site SEO changes

Included: You want us to change some page titles, meta descriptions or fix specific SEO errors found in your latest report.

Not included: You want us to help with keyword analysis, rank tracking, backlink outreach or SEO consulting.

Example: Google Search Console issues

Included: You want us to help fix some specific minor WordPress errors found in your GSC account.

Not included: You want us to fix every issue in your GSC account without context or priority.

Yes, although support may be slower based on number of requests submitted or task complexity.

We get a lot of questions about our unlimited edits. But it's true! Unlimited really means unlimited when it comes to the edits we provide.

We don't like to nickel and dime people, so we just ask them to pay for their monthly subscription and we provide the technical support.

It depends on the ticket, but in general, 2-6 hour reply time & 24-48 hour resolution time.

We get a lot of questions about response and resolution times here at WP Buffs! Here's the most honest answer we can give you: it depends on the ticket.

This is why we don't have an official SLA, just a general timeline for when edits should be completed based on a few factors.

How website edits work
  1. When you email a support ticket (or submit it in your ticketing dashboard), you will receive an automated response right away if it is submitted correctly into our system.
  2. Within 2-6 hours you will receive a manual response email from our team that we have opened the ticket, have assessed the request complexity and are actively working on it.
  3. Within 24-48 hours you will receive a resolution email with the changes made as a result of that ticket or request.
Factors that can affect this timeline
  • Our team only performs one edit request at a time. This is to make sure conflicts are never created in your site from 2 changes being made at once! That means if you submit 5 edit requests at one time, we'll handle them one-by-one. This just means you'll need to be a bit patient as we work our way through your multiple simultaneous requests.
  • If you send in a request that's high-complexity, it also may take our team longer to address it. We pride ourselves on doing work quickly, but even more on doing safe, diligent work. More complicated requests also require some patience on your end as we effectively tackle it for you. If a ticket is complex and our team needs more time, we'll let you know if it is outside of that 48 hour window.
Ways you can help our team be more efficient
  • Sometimes we need additional information or direct feedback from you to move a request forward. If you receive an email that requires additional information, please reply to it as soon as possible so our team can continue working on your request!
  • Because we don't offer phone or livechat support, please use the resources we've included here to make sure your edit requests are as detailed as possible.

If you need us to provide edits to your website, you'll need to upgrade to our Protect Plan or Perform Plan. We're not big fans of one-time edits since we want to work with people who understand their website is a work in progress and want a technical partner who can help them continue to move forward. Plus, when it comes to security and website speed, one-time changes are simply not effective. We want to provide ongoing support to get your WordPress site fast and secure, then keep it that way.

Yes! We fully manage WordPress websites, including everything in your WordPress ecosystem. If updates are causing conflict issues, we'll reach out to plugin and theme companies directly to help fix the core issue so you don't have to. If your hosting company's server goes down for any reason, we'll hop on live chat to help them assess and fix the issue so you don't have to wait in a queue for 30 minutes.

At the end of the day, WP Buffs fully manages WordPress websites so you won't every have to worry about a technical website issue again!

No! We only offer support via email and our login support dashboard.

If phone support, livechat support or real-time screen sharing are must-haves for you, WP Buffs isn't a great fit. No hard feelings!

While we don't offer phone support, we've made email and help desk support a huge priority here at WP Buffs and you'll find our email support fast, effective and friendly!

We'll also give you a ton of resources to help make email support even more effective for you. That includes.

These all help tremendously in making sure you're able to submit detailed edit requests to our team, avoiding email back-and-forth and getting your edits done quickly and effectively.

WP Buffs focuses mainly on maintaining, supporting, and optimizing already built WordPress websites.

From time to time we get asked about whether or not we can do a one-time project or website build for our clients. Quite simply, we do not offer these kinds of services and it would be best if you find a WordPress freelancer or development agency to help get your website up and running.

We DO NOT take on the following kinds of projects:

  • Building a website from scratch (we don’t do this now but we’ll likely be offering this service soon if you want to get on the waiting list, just email hello@wpbuffs.com).
  • Complete websites before launch (unless it’s just a few small edits and some pre-launch optimization work).
  • Theme development
  • Plugin development
  • One-time speed optimizations
  • One-time edits (WP EZI can help you with this)

Already have a WordPress website?

If you already have a WordPress website we would be happy to become your long-term WordPress partner who maintains, supports, and optimizes your site.

If you sign up for one of our WP Buff's website management subscriptions, we can help you with the following services!

With us, by your side, you can rest easy knowing that your WordPress website is well taken care of!

  1. You can access the Ticket Dashboard here.
  2. If it's your first time logging in, simply click Login in the top right corner and then Lost Password.
  3. Reset your password via a link in the email you're sent.
  4. Login to our Ticket Dashboard using your new username / password.

Right away, but there are some things our team needs to do before we can proceed with your edits.

Right after you sign up for your website management subscription, you'll receive a welcome email with details on how to securely get us all your login credentials. Read more about our step-by-step onboarding here.

That welcome email will also tell you how to submit website edits. More details on how we perform website edits here.

You can submit your first website edits right away after you receive your welcome email since your website management subscription is technically active the moment you sign up!

But there are a few things we have to do before performing any website edits...
  1. Make sure all the login credentials you've sent us work correctly.
  2. Perform a full backup of your core files and database.
  3. Do a few initial onboarding steps to make sure your website is stable.

These initial steps can take a few hours. But once they're completed, our support team's next step will be to dive into your initial website edits whenever they were sent in.

No, but WP EZI does!

WP Buffs doesn't offer one-time support requests at this time.

Our goal is to be an ongoing technical partner for website owners and WordPress professionals. That means focusing exclusively on subscription pricing so folks can work with us over the long-term to power lasting digital growth.

That being said, we realize some folks do just need a little bit of help now and again. That's why we acquired WP EZI to help WP Buffs address this exact problem.

To get one-time support for your WordPress site, make your order here.

Yes at $100/hr & as an add-on to our website management subscriptions.

We do offer custom development for larger projects that are outside the scope of our website management subscriptions.

Custom development is $100/hr.

Our team will always try to make changes to your website(s) as simply as possible. That means we'll avoid custom development whenever possible to keep your website itself simple. And if something does truly require custom development, we'll follow the procedure below.

The process for custom development
  1. You'll submit an edit request that our team decides requires custom development.
  2. Our engineers will email you with an accurate estimate for how much time we think it will take with regards to hours.
  3. Once you give us the green light to move forward, your credit card on file will be charged for those hours and our team will complete the project with any additional questions during development directed to you via email.
Yes.

We know many websites have multiple users, contractors, freelancers or consultants doing many different things in the backend. We enjoy working with many websites to make things even easier for everybody with dashboard access. As long as WP Buffs is aware of any technical changes to the website made by another party, this shouldn't create any conflicts.

🔎 24/7 Emergency Support and Monitoring

We have automated tools that check the status of your website(s). They ping your sites managed under our monthly subscriptions every minute of every day.

These pings simply check to make sure your site isn't giving a 400 or 500 error.

If our automated software finds that your website is down or showing non-normal activity, it will ping our help desk and somebody on our support team will address the issue.

Our team is distributed, meaning we work from around the globe! Our core team is local to the US while some of our employees are international and work remotely. This gives us the ability to provide 24/7 service. If your website crashes at 3am on a Sunday morning, someone on our team will be notified within 1 minute, the issue will be addressed and your site will be back up immediately.

👻 White-label Partnerships and Support

There are a few different aspects of our white-label website management that make it unique and effective:
  • We'll hook one of your @youragency email addresses into our help desk so we can manage any requests your clients send.
  • Every email we send has your team's name and logo in the signature.
  • We send white-label reports every week to you (or directly to your clients via your white-label email address) so they can stay updated with security scans, speed optimization, updates, etc. See sample white-label report.
Single invoice on autopay the same day every month.

Your clients pay you for your white-label care plans and you pay us. We keep payment completely separate so as to maintain the white-label aspect of our support.

You'll receive a single invoice every month that you'll autopay via credit card.

It will have a full list of all the websites you have white-label care plans active for (and what plan they're on) so you know exactly who's under what subscription.

  • We offer 24/7 support. Because WP Buffs was built around a 100% remote work environment, we have staff working from here in the US and across the globe.
  • We give our partners' clients free access to premium plugins.
If you have clients or customers who need ongoing website edits, performance enhancements, additional security or any kind of regular maintenance, we’ll step in as your background technical partner.

We provide plenty of resources in our Partner Hub (which you'll gain access to once you're onboard) to help white-label partners sell care plans to their current clients and new ones as well.

  • Email sequence templates to upsell current clients and generate new leads.
  • Free white-labeled speed and security eBooks you can add to your website and use as lead magnets.
  • We also provide a thorough guide to help people create their own contracts to work with new clients. This can help protect both your company and your clients and we'll help guide you in building one that's perfect for you.
  • Our Partner Hub has marketing tips, advice on community and audience building, great SaaS tools to grow your business, and much, much more!

All white-label partners are responsible for acquiring their own clients. White-label partners can resell our website management subscriptions at any price that makes sense to them.

Keeping clients on care plans is just as important as selling new ones. We provide a ton of resources to help you keep care plan churn to a minimum:

Weekly white-label reports

We send white-label reports every week  to you (or directly to your clients via your white-label email address) so they can stay updated with security scans, speed optimization, updates, etc. See sample white-label report.

Partner Hub

We give you access to our Partner Hub, where we provide a detailed email automation sequence to help you onboard new care plan clients. Great onboarding leads to long-term care plans!

Edit submission form

We give you step-by-step instructions on how to add a website edit submission form right to your website that sends requests directly to your white-label support desk.

Onboarding checklist

Our Partner Hub also has an internal onboarding checklist just for you! Don't forget any big requirement or small detail when a new client signs up.

Yes!

You (and anybody else on your team) get full dashboard access to your white-label inbox. That means you have full transparency into every conversation we're having with your clients and can monitor every ticket and interaction.

Most of our white-label partners trust us to provide awesome support here but especially during the first month or so of white-label support, it's reassuring to be able to check in on things.

This is especially helpful if you need to know what kind of work has been done on a client site. Before calling or emailing them to discuss a new website build or marketing campaign, you can simply log in and check their ticket history to remind them how much value you've provided to them on an ongoing basis.

Right in our Partner Hub.

Once you've officially joined our white-label program, you'll have full access to our Partner Hub.

There's an area there to easily submit both WordPress admin dashboard and hosting credentials to our team to add a new white-label plan to your account.

Screen Shot 2021-04-30 at 2.41.34 PM

Once we receive those login credentials, our team will add this plan (with the 20% discount) to your account and automatically onboard the new client site's care planSee our step-by-step onboarding procedure here.

Upgrades

To add a new white-label care plan to your account or upgrade an existing white-label subscription, you can submit the addition or upgrade in our Partner Hub.

Downgrades

To downgrade an existing white-label subscription, use the same procedure as the upgrades section above.

Cancellations

To cancel an existing white-label subscription, use the same procedure s the upgrades section above. This can take up to 1 business day after the cancellation is requested (and if a charge happens to come through during that time, we'll refund you immediately).

  • Remember, all upgrades are prorated. This simply means if you upgrade on July 15 and your white-label account is charged on July 30, you'll be charged for those 15 days AND the following month on July 30.
  • Downgrades are also prorated. When a white-label subscription is downgraded, you'll earn back the difference when your monthly invoices are due instead of paying the difference like you would for an upgrade.
  • Cancellations are allowed for yearly white-label subscriptions, although it's also possible to transfer a remainder of a yearly white-label subscription to another website.
Start by using our standard pricing and experiment from there!
The first thing to know is we have lots of resources for this!
  • When you officially join us as a white-label partner, you'll get full access to our Partner Hub with plenty of resources on how to price your care plans correctly.
  • You'll also have direct access to our Partner Success Team. They help our white-label partners directly to implement pricing that will allow you to scale a profitable business alongside our white-label program.
Recommended pricing to start at

How you price your white-label care plans depends on a lot of factors.

  • The quality of your clients
  • How long you've worked with clients
  • Your reputation
  • Your sales abilities
  • And a lot more

We usually recommend new white-label partners price their care plans at the same price point you see on the WP Buffs pricing page

  • Perform: $219/mo
  • Protect: $159/mo
  • Maintain: $79/mo

This will allow you to make a solid profit margin on each care plan you resell because as a white-label partner, you get 20% off all our pricing!

If you have great sales skills, fantastic relationships with your clients or simply work with high-budget folks, you can resell at a higher price point. The higher the price point your clients agree to, the bigger margin you'll earn from reselling our care plans.

How does this work in practice?
  1. You sell our Perform Plan to a client.
  2. Your client pays you $219/mo for this Perform Plan.
  3. You pay us 20% off $219/mo = $175.20/mo for this Perform Plan.
  4. You make ~$500/yr profit from selling that Perform Plan and letting WP Buffs handle all the ongoing website management.
  5. You make reselling care plans a core part of your business and scale up to 100 white-label Perform Plans. That's $50,000/yr of profits coming from an area of your business you don't have to dedicate any time to.

If this price point seems to high for your client base and something you think they'd balk at, we may not be the best fit for you! A technical WordPress partner with lower priced, less premium care plans may be a better option.

Each website we manage will require its own care plan.

If you manage websites with features such as eCommerce, membership areas or websites that have multiple languages then we'd manage that website under Perform Plan. If the website doesn't have that type of functionality you can choose the level of support based on your clients support requirements.

Your clients pay you for your white-label care plans and you pay us. We keep payment completely separate so as to maintain the white-label aspect of our support!

You'll receive a single invoice every month that you'll pay automatically via credit card.

It will have a full list of all the websites you have white-label care plans active for (and what plan they're on) so you know exactly who's on what plan.

White-label partners require a minimum of two active care plans to maintain a partnership with WP Buffs.

🔐 WordPress security

WP Buffs has partnered with iThemes Security Pro and BlogVault to bring premium WordPress security to your website(s) for free under our website management subscription.

During your onboarding process, we’ll implement the premium plugins and optimize them for your unique site to give you the best possible protection.

• Daily Cloud Backups• Block Fake google Crawlers
• SSL Certificate• Daily Database Optimization
• Brute Force Protection• Verify Trusted Sources
• Custom Login URL• Daily Malware Scan
• Weekly Plugin & Theme Scan• Real-Time Monitoring
• Manage Inactive Plugins• IP Tracking
• 2-Factor Authentification• Comment Spam Filtering
• Force Secure Passwords• DNS Change Alerts
• Database Protection• File Permissions
• Install a Firewall• Daily Link Scan

Premium security plugins are never simply installed and activated. Our team optimizes every setting and option to maximize security for your unique websites' design and functionality.

We'll also implement additional security measures across your WordPress dashboard and server as needed. While your hosting company is responsible for security on your server, our team will ensure everything is up to your standards there (and recommend upgraded hosting if necessary).

Yes (if you're interested in long-term security as well)!

After you sign up for a website subscription for your compromised site, our team of security engineers will:

  1. scan the site
  2. clear out all malware, and
  3. check the site for any vulnerable areas such as outdated themes and/or plugins with known vulnerabilities.
  4. create a security setup to harden your website to protect against future attacks.

WP Buffs does not perform one-time malware clean up. If you decide to work with us, it's because you want to clean up your site and keep it secure in the future. If you are looking for one-time malware removal, we recommend working with our partners at Malcare!

We're a security company, which means we're incredibly diligent about the transfer or personal data, website passwords, credit card information, etc.

  • We use tools like 1ty.me to securely hand off personal information.
  • Our entire team uses VPNs to anonymize and encrypt internet activity whenever we log in to do any work related to WP Buffs, our customers or our partners.
  • Every single member of our team activates 2-factor authentication for every piece of software we use that offers it, including all software that contains customer data of any kind (including Stripe, WooCommerce, Teamwork Projects, Teamwork Desk, etc).

🚀 WordPress Speed and Performance Optimization

Speed and Performance optimization is fully covered by our Perform Plan or higher. Through hours of manual optimization and our premium plugins, we achieve sites fast enough to have a significant positive impact on the websites we manage.

During onboarding, our team does a full audit of your website and hosting environment. This allows us to create and execute a unique plan for your website to significantly lower loading time.

We also keep your website fast on an ongoing basis. Getting your website to load quickly is one thing, but keeping it loading fast over the long-term is a real game-changer.

During your onboarding process, we’ll work through our proprietary procedures and implement our premium plugins to give you the best possible optimization.

• Optimize Images
• Remove Query Strings
• Minify Javascript and CSS
• Optimize Mobile Experience
• Render-Blocking Resources
• Combine Requests
• Leverage Browser Caching
• Lazy Loading Images
• Enable Compression
• Inline Critical CSS
• Reduce Server Response Time
• CDN Support

The exact process:
After onboarding and our audit, we do a deep dive into things like the GTmetrix waterfall, Google Pagespeed Insights and Google Core Web Vitals.
Our performance engineers will experiment and execute the necessary steps given your unique website and infrastructure to achieve significant progress in performance.
Our support team will update you when we've made as much progress as possible under your current infrastructure.
Sometimes additional progress can be made given additional infrastructure investment (a premium CDN, upgraded hosting environment, etc). If this is the case, we'll tell you our personal recommendations and help you move forward if you decided to take next steps.
We also check and perform continued speed optimization on a regular basis. Getting your website to load quickly is one thing, but keeping it loading fast over the long-term is a real game-changer.

Balancing monetization and performance:
Websites with a number of marketing plugins, serving Google Ads and monetization options do present a challenge when it comes to performance optimization.

While we may not be able to achieve perfect scores on these sites, our team is confident we can deliver positive and impactful results while maintaining your existing monetization options.

No. While our goal is always to achieve loading times of under 1 second, we never make any blanket promises when it comes to loading times of the websites we manage. Anybody who makes promises like this is simply trying to sell you on their services and get you to swipe your credit card.

This being said, the majority of the websites we manage load in under 2 seconds, which is the recommended loading time to hit according to Google.

Every website is different, and depending on certain aspects of the website, it may be impossible to achieve loading time under 2 seconds. For example, if your website is on shared hosting (alongside 20,000 other websites) and has 20 Google Ads serving external content, chances are your website will be slow.

But if you take our speed engineers' advice, ensure your website is on appropriate hosting and do a great job balancing marketing & growth needs with minimalist speed optimization techniques, achieving loading times under 2 seconds should be no problem.

Yes, although we don't perform the migration directly!

While our team doesn't actively perform migrations, we do partner with a select group of hosting companies who are experts in this area. All our recommended hosting providers perform migrations for free if you decide to host your website(s) with them.

We've worked alongside all our preferred hosting providers for years so we can confidently vouch for their hosting quality, customer support and focus on performance and security.

Our team will be happy to recommend the hosting provider who we think will best fit your websites' specific needs (including wanting the site to load faster). Once you sign up with your new hosting provider, we'll work with them and you to oversee your migration. Their migration team will execute the migration but our team will ensure everything moves over smoothly with no downtime.

Once the migration is complete, we'll take over management of your hosting environment for optimization to make sure your website is maximizing it's new, fast server!

No. WP Buffs only provides speed optimization services for people who want to make their website faster and keep it that way over the long-term.

One-time speed optimization may help your website load faster now, but as your site continues to change over the following weeks and months, the site will slow down again unless someone is continually optimizing the site for speed.

We partner with folks to manage their website speed not just for today and tomorrow, but for the foreseeable future.

Our support team does not run SEO campaigns!

SEO tasks we can't help with:

  • help with keyword research
  • consult on SEO strategy
  • do keyword tracking
  • help you earn backlinks
  • anything else related to driving traffic to your website through search engines

That being said, we often work alongside SEO teams to help implement technical tasks relating to your SEO.

SEO tasks we can help with:

  • Adding metadata
  • Updating title tags and page titles
  • Adding blog post content
  • Helping with any other on-page SEO tasks you or your marketing team need completed.

Performance

While we don't run SEO campaigns for clients, we do help optimize speed and Core Web Vitals under our Perform PlanAs loading time becomes more of a ranking factor for Google, having a team speeding up your site becomes more of a necessity!

SEO is a long-term challenge. We always recommend working with an SEO team who can fully review your site and help you achieve your website goals. If you're looking for an SEO agency to work with, we recommend one of our preferred SEO partners.

🔄 WordPress Updates

WP Buffs updates plugins, themes and core files on every website we manage. This includes:

  1. a full battery of testing before updates are made (when necessary)
  2. executing updates using our safe procedure
  3. troubleshooting after updates have been made to ensure all designs and functionality are intact
Full backups done before updates

Before we start the process of executing a set of updates, our engineers will perform an extra full backup of your core files and database. Safety first!

Our engineers perform WordPress updates on a weekly basis.

This is actually safer from a security standpoint than daily updates because it avoids the situation of updating a plugin or theme after a developer has accidentally released a new version with a security bug.

They are safely handled by WP Buffs during low-traffic hours

This ensures that any possible issues around updates wouldn't adversely affect your site when the majority of people are active.

Updates can be done on staging first

We're also happy to perform the updates on your staging server before pushing them live for another layer of security if you'd like us to.

This is especially helpful for websites with advanced functionality like WooCommerce, membership, etc.

What about premium plugins from 3rd party developers?

We will gladly perform the necessary plugin updates to any previously purchased or future purchased plugins, for example, WooCommerce Subscriptions.  You can either give us the logins to the account of the plugin you purchased or you can send us the updated file and license via WeTransfer or similar. We just need the plugin and licenses to update it.

We will not purchase or pay for any premium plugins or licenses on your behalf, you will need to do this directly with the plugin developer.

There are a few reasons for this:

  • Sometimes plugin updates are released with bugs. Updating less frequently allows the plugin developer to get rid of these bugs before we add them to your WordPress site.
  • Batching more updates together means an easier manual review. That in turn means a lower probability that something bad will happen or break your website.
  • We'll be doing all these updates on the weekend when most websites receive less traffic. That means a safer environment and minimal issues for your visitors.

We always make an exception for more major plugin updates, such as WooCommerce. When major updates come out for this, we'll make the updates far more slowly to ensure that your website remains running smoothly without any hiccups.

If your hosting provider has a one-click PHP version setting that we can use to select the desired PHP version, then yes, we can use that if a PHP update is requested.

If this option is not available, then no, it will be up to your host to update the PHP version of your site or server.

If you are on a Protect, Perform, Custom or Custom Pro Plan, we can put in a ticket with the host on your behalf and ensure that any issues caused by the update are resolved.

If you are on a Maintain Plan and a PHP update not done by us causes issues, you will need to resolve that with your host or upgrade your care plan to add edits by WP Buffs so that our team can make the necessary changes to your website to make it compatible with the newer PHP version.

🛍️ Advanced and Custom Functionality

Just because something specific is not listed here does not mean it doesn't belong under our Perform Plan, especially when new technology arriving in the WordPress ecosystems regularly.

  • eCommerce (WooCommerce, Easy Digital Downloads, WP Simple Pay, etc)
  • Membership (MemberPress, Restrict Content Pro, s2 Member, etc)
  • Learningmanagement (LearnDash, LifterLMS, Sensei, etc)
  • Multilingual (WPML, Polylang, qTranslate-X, etc)
  • Outside API/software integrations (auto-populating real estate listings, etc)
Yes.

All WooCommerce websites or sites that contain on-site payment or donation functionality (Easy Digital Downloads, BigCommerce, WP Simple Pay, Give, etc) require our Perform Plan.

All websites that are also custom-built or have highly customized themes or plugins require our Custom Pro Plan

If your website accepts payments or donations that are managed by a 3rd-party (someone submits their payment on a separate website, etc), this requirement does not apply.

Under specific website management subscriptions, our team manages WooCommerce stores to help you drive more sales and revenue.

Adding new products

Our unlimited small website edits fully cover adding or removing any products to your online store. Just send us images, descriptions and any other details we need about your new products and we'll get new product pages up for you.

Performance

If you run a high-traffic WooCommerce store, whether it's regularly driving traffic through SEO or seeing large traffic spikes over short time periods, our team will help you set up the infrastructure and ensure your checkout process is fast and effective. Whether 1 person is checking out or 1,000 are concurrently, we'll make sure your site is set up to give each of those people a great checkout experience.

Safe updates

Here at WP Buffs, we practice a safe update procedure, which is even more important for finicky WooCommerce updates. We'll perform all WooCommerce updates in a staging environment and do a full battery of tests before pushing those updates to the live site to completely avoid any update issues.

Staging integrated into workflow

You need folks to be able to check out on your store 24/7. That's why we're happy to provide a workflow that sees all changes happen in staging before they get pushed to the live site. This means it will take a bit longer for you to see website edits go live on your site, but also that the risk of downtime or checkout issues is significantly reduce.

Yes!
5 sites or less

If your Multisite installation has 5 sites or less we can fully manage the full multisite install on Custom Plan Pro.

6+ sites

For Multisites running more than 5 sites we can fully manage your installation under one of our Enterprise Plans.

Yes!

If your website has advanced functionality, we'll do all plugin, theme, and core file updates on your staging server. Once everything has been updated successfully, we'll push those changes to your live site to avoid any downtime.

  • If you have access to a staging site through your hosting provider, we're happy to manage that staging area.
  • If not, WP Buffs will provide you complete access to a staging site our team will create for you.
Do you have a process for pushing data from staging to production without overwriting production member data (e.g Membership, eCommerce, and Learning Management Systems)?

In these cases, we don’t do a full website push from a staging environment.

We selectively choose what needs to be pushed based on what was changed. Some things may be manually copied over if it’s database-related, such as content.

If the changes made were only to files, such as testing, we can choose to only push the files to the live version of your website.

Staging websites should only be used for testing or short-term edits. We don’t recommend using a staging site for more than 24 hours. This is to mitigate overwriting production site data.

Not necessarily!

If your site handles all payments or donations on-site (WooCommerce, Easy Digital Downloads, BigCommerce, WP Simple Pay, etc), our Perform Plan or higher is required.

However, if your website accepts payments or donations that are 100% managed by a 3rd-party (someone submits their payment on a separate website, etc), we can also manage your website under our Protect or Maintain Plans.

Yes.

We manage tons of membership sites. Our monitoring and updates is specifically designed to make sure login areas are always functional.

Our team is also very familiar with all the most popular membership plugins, so no matter how your site is build, we're a great option to get up to speed on your website fast.

We also know that accepting credit cards and being responsible for so much membership data is heavy on your shoulders. That's why you can rely on our security experts to make sure your site remains safe from malware, blacklist status, website errors and out-of-date software.

We even manage our own membership site over at WPMRR so you know we know all the ins and outs of fully managing a membership site!

Custom-built (or highly customized) websites required our advanced plans because of their level of complexity! That's where our Custom Plan and Custom Pro Plan come in.

Websites built using out-of-the-box themes, plugins or page builders can be updated through regular updates provided by the developers of those products.

Custom websites require our engineering team at WP Buffs to manually updated custom areas of your website, a time- and resource-intensive process.

That's why these websites require a higher level plan! It's our job to make sure we take the best possible care of every website we manage and that means giving it the investment needed to keep it performant, secure and stable.

Your WordPress site requires our Custom Plan if...
  • the theme is custom-built
  • the theme files have been highly customized
  • the site is using any custom-built plugins
  • the site is using any highly customized plugins

You can use one of the tools listed here to see what theme your website is using. If it's named after your website or business, it's probably a custom-built theme!

If your website is using a custom-coded plugin OR a developer added any custom code to a plugin to give it new functionality, that's probably a custom plugin!

Your WordPress site requires our Custom Pro Plan if...

Any of the above points are true AND the website has advanced functionality.

We handle enterprise pricing on a case-by-case basis. However, this article should give you a better idea if this would be the right fit for you.

Our Enterprise solution is designed for clients and businesses that have a need for heavy-load WordPress support. Enterprise pricing is discussed on a case-by-case basis, however, below you'll find some examples of websites and scenarios that may be considered for Enterprise Plan pricing:

  • Multisites of 5+ installs will require Enterprise Pricing. (Multisites of up to 5 installs can be managed under a Custom Pro plan.)
  • Enterprise pricing is discussed on a case-by-case basis when it comes to multisite installations and depends on the complexity and number of sites on the network.
  • For enterprise businesses that need 25+ websites managed.
  • For website edits that need to be committed via Git.
  • Enterprise Pricing is ideal for websites that have a very large amount of traffic.
  • Websites hosted on custom solutions or running custom applications integrated with WordPress.

Enterprise plans are exclusive to direct customers only. Anyone reselling care plans or needing care plans for their client websites should sign up for our white-label program.

🌍 WP Buffs remote team

Yes!

This is a requirement for everybody we hire on our support team no matter where in the world they're from. We only provide support in English for the time being so vetting English language skills during our hiring process is a huge focus.

Our team is 100% remote so we can attract the best talent from around the world. That means for some members of our team, English is not their first language. This does result in small mistakes every once in a while. We're all only human!

Overall, everyone on our team has a strong grasp of the English language and with tools like Grammarly for additional support, all the 24/7 support we provide is professional, effective and has our flair of personality.

Our team is distributed, meaning we work from around the globe!

This gives us the ability to provide 24/7 support to all our clients. When our team members in North America and South America are asleep, our team members in Europe, Africa and Asia are active (and vice versa).

We also have full coverage on both Saturdays and Sundays through dedicated weekend support folks and rotating weekend staff.

That means if your website crashes at 3am on a Sunday morning, regardless of your local timezone, someone on our team will be notified and addressing the issue on your site.

No.

In short, not in the way you're thinking. Some companies take your money and then outsource the work you're paying $100/hr for to subcontractor developers they're paying $2/hr. That's not our style as you can read more about below!

As always, our team maintains full transparency into who's on our team and who's working on your website(s).

WP Buffs is, by definition, "overseas"

As you can see on our about pageour team is extremely diverse when it comes to where in the world people are working from. We have team members across North America, South America, Europe, Africa and Asia.

Anybody working on your websites (or in any part of the company) will be listed here whether they're working 40 hours / week or 1.

We welcome full-time and part-time team members

Our team is made up of full-time and part-time team members from around the world. Everybody works the hours they want and maintains the flexibility they choose.

You can see what a happy, driven team that works on a flexible schedule looks like on our company Instagram page

All part-time team members who are actively working on WordPress websites are required to work 20+ hours / week.

Everybody is treated like a core team member

Regardless of how many hours people decide to work, everyone on the team is fully dedicated to our core values, tracked objectives and mission here at WP Buffs. Read more about this on our How We Work page.

Company perks

Every team member at WP Buffs working 20+ hours/week has full or partial access to our generous company perks. Want to join the Buffs? Check out our Careers page.

No.

Sometimes, we get asked about whether or not we will work with websites that are deemed Not Safe for Work (NSFW). We do not work with these kinds of websites for a variety of reasons.

Some specific websites that we DO NOT work with include:

  • Violence
  • Hate speech
  • Illegal activities
  • Unauthorized resellers
  • Explicit pornography

We will consider working with websites that include (as long as they are following laws and not aimed at harming anyone):

  • Cannabis
  • Gun/weapon sales
  • Political/Free Speech
WP Buffs will handle the technical bits of your website freeing up more time so that you can work on more important things!
Get your time back!

Maintaining, optimizing, and supporting a website is a very time-intensive, neverending job! One of the most overlooked benefits of working with WP Buffs is that you will be able to claim back dozens of hours of your precious time.

This allows you to focus on more important aspects of your business like sales, marketing, strategy, and more!

There are a few things that make WP Buffs unique...

We offer 24/7 support

Because WP Buffs was built to prioritize a 100% remote work environment, we have staff working from across the globe. While we're a US-based company, we have team members across Asia, Europe, South America and North America.

You know who's working on your website(s)

Unlike some other companies, we have a team page where you can see everybody who works for us (full-time, part-time, contractor, freelancer, etc). We're proud of the company we've built and the global team that powers it!

We have a Client Success Team

We have a client success team with the specific job of making sure you're successful working with WP Buffs. While our support and engineering teams will handle your website(s) on the day-to-day, our CST will be monitoring your account regularly to ensure you have a fantastic experience with us.

We give all our clients free access to premium plugins

Every website (managed under a subscription that qualify) gets access to iThemes Security ProWP Smush Pro and WP Rocket. You're more than welcome to purchase and use these plugins yourself (in fact, we encourage it!). But if you want access to these plugins as well as a team of WordPress professionals to activate, integrate and optimize them for your unique website, getting access through a WP Buffs website management subscription is the move.

You'll be (indirectly) donating to causes we all care about

When you invest in a WP Buffs website management subscription, a significant part of your monthly payment goes towards the 100% free development time and support we donate to organizations like herresiliencycenter.org.

Our online reviews, testimonials and customer stories are phenomenal

We let our customers speak for themselves.

We have a white-label partnership program

WP Buffs partners with design agencies, marketing firms and freelancers by offering a simple and effective white-label solution. If you have clients or customers who need ongoing website edits, performance enhancements, additional security or any kind of regular maintenance, we’ll step in as your background technical partner.

WP Buffs website management subscriptions don't cover all the help you'll need when it comes to your WordPress website (yet...).

Here are some good options for trusted partners who we personally trust and have worked with successfully.

Hosting
SEO
  • Pam Ann Marketing (to run and manage your SEO campaign)
  • Pathfinder SEO (guided SEO for site owners, agencies and freelancers)
  • Credo (find an SEO, digital marketer, ads manager, etc)
Design
  • ManyPixels (on-demand graphic design subscription)

🏠 WordPress hosting

  • WP Buffs works with any hosting provider.
  • Our maintenance plans do not include hosting services.
  • See our recommended hosting providers for the best WP hosting services.
Yes! We’ll work with any website regardless of where it's hosted.

That includes but is not limited to:

  • Shared hosting
  • Managed WordPress Hosting
  • VPS
  • AWS (requires our Custom Pro Plan)
  • Google Cloud
  • Pantheon (requires our Custom Plan)
  • And many more!

We understand that different websites have different needs and that people have realistic budgets that they have to meet.

That being said, we may not be able to achieve your speed and security goals on a shared hosting provider. If you'd like to upgrade, we have a great list of recommend and trusted hosting partners.

No.
Why we ask for hosting login credentials

When you sign up to work with us, WP Buffs asks for login details to your hosting provider to make sure:

  • we can help in emergency situations in the rare case your website goes down
  • we always have multiple ways to access your website (through hosting, FTP, WordPress dashboard)
But we can help around hosting

That being said, our team can provide hosting-related support if you ask for it! That includes things like:

  • opening a support ticket with the support team on your behalf
  • making some hosting optimizations to help with speed optimization
  • implementing hosting-side WordPress applications (CDN, caching, etc)
  • working directly with the hosting company to address an issue you may not understand
What our website management subscriptions DON'T include
  • fully managing a dedicated or private server
  • AWS server management
  • managing major outages or hosting challenges that are the responsibility of your hosting company

We suggest our clients avoid significant hosting issues entirely by teaming up with one of the fully managed WordPress hosts listed here.

No!

We will keep your website with its current hosting provider as we onboard and manage your WordPress website(s).

We may not be able to achieve your speed and security goals on a shared hosting provider. If you'd like to upgrade, we have a great list of recommend and trusted hosting partners.

Yes, we do! Our team has a lot of experience and knowledge when it comes to handling sites hosted with AWS. You're in safe hands! We fully manage WordPress websites hosted under AWS on our Custom Pro Plan.

🙋‍♀️ Account management

Yes, anytime!

Downgrading website management subscriptions means losing access to premium speed and security optimization services. If you move forward with the downgrade, just make sure these are things you're prepared to handle yourself!

Direct clients

You can upgrade, downgrade or cancel your website management subscription(s) anytime by:

  1. emailing our support team the request directly
  2. submitting your upgrade/downgrade request through our ticket dashboard
White-label partners

You can upgrade, downgrade or cancel website management subscriptions for your clients anytime by following the instructions here

You know it! We've been 100% compliant since May 25, 2018. You can read more about the types of data we collect, how we collect it, and how we use your data here.

Of course!

Once you've worked with us for a bit and know how awesome we are, you can take advantage of our discounted pricing and move over to a yearly plan anytime.

No for monthly plans, yes for yearly plans

You can see our exact refund policy in our Terms of Service and Privacy Policy.

We understand that business needs change. That's why our monthly care plans are flexible and can be cancelled anytime.

But because we start providing services from day 1, our monthly care plans are non-refundable.

If you opt for a yearly subscription and need to cancel part way through your year, we're happy to talk to you about a partial refund. Just follow the instructions here.

If a yearly plan is cancelled part way through the subscription we'll charge you only for the months you've used (at our full monthly care plan rate) and we'll refund the remainder of your paid amount.

You do have the option to move a yearly website management subscription to another website, so that might be a good alternative to cancelling entirely.

We work best when we're your primary technical partner when it comes to WordPress. That way we can ensure all changes made to the site are done following our rigorous procedures. So we prefer to be the only team making technical changes to your website(s).

That being said, we know many websites have multiple users doing many different things in the backend. We enjoy working with many websites to make things even easier for everybody with dashboard access so feel free to schedule a call with our team to figure out how we can manage your websites and make it even easier for multiple users to all be working hard in the dashboard at once!

🔌 Premium plugins

  • Premium plugins only available in specified plans.

When you sign up for a WP Buffs website management subscription, you get full access to all our premium plugin partners for free.

During your onboarding process, we’ll implement the premium plugins and optimize them for your unique site to give you the best possible protection.

If you join our white-label program, the same goes for all the clients you sign up for white-label website management.

Premium security plugins are never simply installed and activated. Our team optimizes every setting and option to maximize security for your unique websites' design and functionality.

You'll lose access but can purchase the premium plugins yourself to continue using them.

Unfortunately, we can't continue servicing websites that are no longer covered under our website management subscriptions.

If you decide to cancel your WP Buffs subscription (or downgrade to a subscription that doesn't include a premium plugin), you'll lose access to our license to be able to run the plugin.

You're more than welcome to continue using any of these premium plugins by purchasing your own copy of the plugin.

Honed and proven strategies we've used successfully 500+ times to help you sell your first care plans. Action steps you can implement in minutes.
